Outcrop Holdings Inc. ("Company," "we," "our," or "us") respects the privacy and security of the information processed through Outcrop Inspector and Sterling AI. This Privacy Policy explains what information we collect, how we use it, how we protect it, and the choices you have — including for SMS/text messaging.

Information We Collect

Client and contact information. When you sign up, onboard, or contact us, we collect details such as your name, business name, email address, phone number, mailing address, and the preferences and rules you set for your account.

Messaging information. If you opt in to text messages, we collect your mobile number and your consent, along with records of the operational messages we send and any replies (for example, STOP or HELP).

Financial and operational information (Sterling AI / QuickBooks). Through authorized QuickBooks integrations, Sterling AI may access:

• Transactions

• Account balances

• Financial reports

• Vendor and customer information

• Categorized accounting activity

This access supports authorized internal bookkeeping, accounting, forecasting, reporting, and financial analysis only.

How We Use Information

We use the information we collect to:

Provide and operate Outcrop Inspector's virtual-receptionist and booking services

Send you operational and transactional notifications (including SMS, if you opt in)

Provide accounting support, financial reporting, forecasting, bookkeeping automation, and internal business intelligence through Sterling AI

Respond to your questions and support requests

Maintain the security and integrity of our services

We do not use your information for third-party advertising, and we do not sell your personal information.

SMS/Text Messaging

Outcrop Inspector sends transactional, operational SMS alerts (such as appointment cancellations, reschedules, and access codes) to clients who opt in. SMS opt-in is collected separately on our onboarding form and is never assumed.

We do not sell, rent, or share SMS opt-in information or consent with any third parties or affiliates for marketing or promotional purposes. SMS consent data is shared only with the service providers strictly necessary to deliver the messages (for example, our messaging carrier, Telnyx), and only for that purpose.

Message and data rates may apply, and message frequency varies. You can opt out at any time by replying STOP, and get help by replying HELP. For assistance, contact [email protected].

Security

Connections to QuickBooks Online are secured through Intuit's OAuth authorization system; Outcrop Inspector does not store QuickBooks passwords. We implement commercially reasonable technical and administrative safeguards to protect personal, financial, and operational information.

Third-Party Service Providers

We may use trusted third-party infrastructure providers, cloud services, messaging carriers, and AI processing systems necessary to operate our services. These providers may process information only as needed to perform services for us and are not permitted to use it for their own purposes. As stated above, SMS opt-in data and consent are never sold or shared for marketing.

No Sale of Personal Information

We do not sell your personal information, and we do not share SMS consent with third parties for marketing under any circumstances.

Internal Use

Sterling AI and the associated QuickBooks integrations are intended solely for authorized internal use by Outcrop Holdings Inc. and Outcrop Inspector.
